Captain & Ambassador Recruitment Emails
Overview
Captain recruitment is the single most important step in your pre-race marketing. A personal ask to 5–10 people across departments will generate more signups than any blast email. Send these 6–8 weeks before the race starts.
Base Template
To: Individual team leaders, department heads (send one at a time, not as a group)
Subject: Want to lead a team in our wellness challenge?
Hi [Name],
We’re running a [X]-week virtual wellness challenge starting [date]. I think you’d be a great captain for [department/team].
It’s simple — sign up, name your team, and recruit your people. Everyone logs activities (running, walking, yoga, anything) and your team progresses together on a virtual route.

Follow-Up (No Response)
To: Same recipient, 3–5 days after initial ask
Subject: Re: Want to lead a team in our wellness challenge?
Hi [Name],
Just circling back — wanted to see if you’d be interested in captaining a team for our [Challenge Name] challenge ([dates]).
[Department A] and [Department B] already have captains lined up. Would be great to have [department/team] represented too.
No pressure — if you know someone else in your group who’d be a good fit, happy to reach out to them instead.

Executive / Leadership Ask
To: Senior leader or executive sponsor
Subject: Quick favor — [Challenge Name] wellness challenge
Hi [Name],
We’re launching [Challenge Name], a [X]-week virtual wellness challenge starting [date]. [X] teams are already forming across [org name].

Tips
- Send individually, not as a group. A personal ask converts far better than a mass BCC.
- Pick people who are enthusiastic, competitive, or well-connected — they don’t have to be fitness-focused.
- Tap into natural rivalries. Sales vs. Marketing, East Coast vs. West Coast, Engineering vs. Design. Mention these when recruiting captains.
- Aim for 5–10 captains across departments, offices, or locations.
- Don’t over-explain the platform. Captains need a reason to say yes and a link. They’ll figure out the rest.
- Follow up once. If they don’t respond after two attempts, ask if they can recommend someone else.
